The best way to stay on top of the grant cycle and to ensure you don’t miss a funding opportunity is to maintain an effective grant calendar.  Here are some tips for optimization:

  1. Find the right software. At Boyd Grants, we love using Asana to do this because it enables us to assign point people for specific grants and assign tasks within each grant integrated into the context of the calendar.  There are many workflow software programs to choose from.  The trick is to find one that integrates a master calendar and is scalable so you don’t have to migrate programs as you become more successful.

  1. Assign someone to grant search. Delegation is the key to effective grant management.  Someone on your team should always be tasked with searching for new grants and vetting past grants to make sure they are scheduled correctly in the calendar.  A grant calendar is amorphous as funding allocation can vary from year to year.  New grant opportunities are always popping up and old ones cycling out.  It needs to be someone’s specific task to keep an eye on this.

  1. Alerts! Use alerts strategically.  You don’t want to overdo it so your team starts ignoring them, but it takes a LOT to overdo it when it comes to your grant calendar.
